1. Who we are

TaskRoom ("we", "us", "our") is a SaaS field workforce management platform operated in India. Our service helps businesses track field employees, manage tasks, and collect proof of work.

For the purposes of this policy, we operate as both a data controller (for account and billing data) and a data processor (for employee data that organizations collect through our platform).

2. What data we collect

2.1 Account data (Managers & Organization owners)

• Full name, username, email address, mobile number
• Organization name, domain, contact details, billing address
• Payment information (processed by Razorpay — we do not store card numbers)
• Account preferences and settings

2.2 Employee data (collected by your organization)

• Full name, username, mobile number
• GPS location coordinates during active field tasks
• Route history (path taken during a task)
• Attendance punch-in and punch-out timestamps
• Task completion data, step submissions
• Photos uploaded as proof of work
• Digital signatures collected from customers

2.3 Usage data (automatic)

• Device type, operating system, app version
• IP address, browser type
• Pages visited and features used (analytics only)
• Error logs and crash reports

3. How we use your data

We use collected data strictly for providing and improving the TaskRoom service:

• To create and manage your organization account
• To power the field tracking, task management, and attendance features
• To process payments and send billing receipts
• To send product updates, invoices, and support responses
• To detect fraud, abuse, and security threats
• To improve product performance and fix bugs
• To comply with Indian law and legal obligations

We do not use your data for advertising, sell it to third parties, or use it to train AI models.

4. GPS and location data

• GPS location is only collected when an employee has an active, in-progress task
• Location tracking stops automatically when a task is completed or cancelled
• Location data is visible only to managers within the same organization
• Employees cannot see each other's location
• Location history is retained for the duration allowed by your plan (7–365 days)
• Employees can see their own location history in the app

5. Data sharing and third parties

We share data only in the following limited circumstances:

5.1 Service providers

• Razorpay — payment processing (PCI-DSS compliant)
• MongoDB Atlas — database hosting (encrypted at rest)
• Vercel / hosting providers — website delivery
• Google Analytics — anonymous website usage statistics

All service providers are contractually required to protect your data and can only use it to provide services to us.

5.2 Legal requirements

We may disclose data if required by Indian law, court order, or to protect the rights, property, or safety of TaskRoom, our users, or the public.

5.3 We never

• Sell your data to advertisers or data brokers
• Share employee GPS data with anyone outside your organization
• Use your data to train machine learning models

6. Data retention

• Account data: retained while your account is active, deleted within 30 days of account closure on request
• GPS location history: retained per your plan (Starter: 7 days, Growth: 30 days, Business: 90 days, Enterprise: custom)
• Task data and proof (photos, signatures): retained for your plan's history period
• Billing records: retained for 7 years as required by Indian tax law
• Deleted organization data: permanently purged within 30 days of deletion

7. Your rights

As a user of TaskRoom, you have the following rights:

• Access — request a copy of all data we hold about you
• Correction — update incorrect personal information
• Deletion — request deletion of your account and associated data
• Portability — export your organization's data in CSV/JSON format
• Objection — object to specific data processing activities
• Withdrawal — withdraw consent for optional data processing at any time

To exercise any of these rights, email us at support@taskroom.in. We will respond within 30 days.

For employees: Your GPS data belongs to your employer's organization. Contact your manager or HR to request access or deletion of your employment data.

8. Security

• All data is transmitted over HTTPS/TLS encryption
• Database is encrypted at rest using AES-256
• Passwords are hashed using bcrypt — we cannot see your password
• API access requires JWT authentication tokens
• GPS data and proof photos are stored in secured cloud storage
• We conduct regular security reviews

If you discover a security vulnerability, please report it to support@taskroom.in before disclosing publicly.

9. Cookies

Our website uses minimal cookies:

• Session cookies — keep you logged in during your browser session
• Preference cookies — remember your dark/light theme setting
• Analytics cookies — anonymous usage statistics via Google Analytics (can be blocked)

We do not use advertising cookies or cross-site tracking cookies.

10. Children's privacy

TaskRoom is a business software product intended for adults (18+) in a professional employment context. We do not knowingly collect personal data from anyone under 18 years of age. If you believe a minor has created an account, please contact us immediately.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we make significant changes, we will notify organization owners by email at least 14 days before the changes take effect. Continued use of TaskRoom after that date means you accept the updated policy.

The "Last updated" date at the top of this page always reflects the most recent revision.
